Privacy Policy

Effective date: 26th April 2026

Who We Are

Maritime Lodge No. 3025 is a Masonic lodge working within the Province of East Lancashire under the United Grand Lodge of England. For the purposes of UK data protection law, Maritime Lodge No. 3025 is the data controller responsible for personal data collected through this website (maritimelodge.org.uk).

If you have any questions about how we handle your personal data, please contact the Lodge Secretary at: secretary (at) maritimelodge.org.uk

We have not appointed a Data Protection Officer, as we do not fall within the categories of organisations required to do so under Article 37 of the UK GDPR.

Legal Framework

We process personal data in accordance with:

  • The UK General Data Protection Regulation (UK GDPR)
  • The Data Protection Act 2018
  • The Privacy and Electronic Communications Regulations 2003 (PECR)

The Information Commissioner’s Office (ICO) is the UK’s independent supervisory authority for data protection. You have the right to lodge a complaint with the ICO at any time — see the Complaints section below.

What Personal Data We Collect

We collect only the minimum data necessary for the purposes described in this policy.

Data you provide to us

When you contact us, enquire about membership, or send us an email, you may provide your name, contact number, email address, and any other information you choose to include in your message.

Data collected automatically

When you visit our website, certain technical data is recorded automatically by our hosting and analytics systems, including your IP address (anonymised where possible), browser type and version, device and operating system, pages visited and time spent on the site, and the website that referred you to us. This data does not identify you personally and is used only to monitor site performance and improve your experience.

How We Use Your Data

We use the data we collect for the following purposes:

  • To respond to enquiries you send us
  • To provide information about the lodge and Freemasonry to prospective members
  • To monitor and improve the performance and usability of our website

We will not use your data for any purpose other than those listed above, and we will not use it for automated decision-making or profiling.

Our Legal Basis for Processing

Under Article 6 of the UK GDPR, we rely on the following lawful bases:

  • Consent — where you have contacted us or submitted an enquiry, you have given clear consent for us to use your data to respond to you
  • Legitimate interests — for the collection of anonymised website analytics, which helps us maintain and improve the site without overriding your privacy rights

Where we rely on consent, you may withdraw it at any time by contacting us at secretary (at) maritimelodge.org.uk. Withdrawing consent will not affect the lawfulness of any processing carried out before the withdrawal.

Who We Share Your Data With

We do not sell your personal data. We do not share it with third parties for marketing purposes.

We may share data in the following limited circumstances:

  • With our website hosting provider, who processes data on our behalf under a data processing agreement
  • If required to do so by law, court order, or a regulatory authority
  • To protect the legal rights of the lodge

If you follow links from our website to third-party sites, those sites operate under their own privacy policies, for which we have no responsibility.

International Data Transfers

Our website is hosted on servers that may be located outside the United Kingdom. Where personal data is transferred internationally, we ensure that appropriate safeguards are in place in accordance with UK GDPR requirements, such as adequacy decisions or standard contractual clauses.

How Long We Keep Your Data

We keep personal data only for as long as necessary to fulfil the purpose for which it was collected:

  • Enquiry and contact data is retained for up to 12 months and then securely deleted, unless an ongoing relationship is established
  • Website analytics data is retained in anonymised form for up to 26 months

You will be notified if we need to keep your data for longer than these periods.

Your Rights

Under the UK GDPR you have the following rights in relation to your personal data:

  • Right to be informed — to know how your data is used (this policy fulfils that obligation)
  • Right of access — to request a copy of the data we hold about you
  • Right to rectification — to have inaccurate data corrected
  • Right to erasure — to request that we delete your data where there is no compelling reason to retain it
  • Right to restrict processing — to ask us to limit how we use your data
  • Right to data portability — to receive your data in a structured, machine-readable format
  • Right to object — to object to processing based on legitimate interests

To exercise any of these rights, please contact us at secretary (at) maritimeodge.org.uk. We will respond within one calendar month.

Children

This website is not directed at children under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
